Finalizing Config2 Design
Config2 work is underway and will be wrapped up in June to complete the following:
- configure Shutdowns
- update any required Config1 functional changes
- incorporate feedback from the Business sessions on Config1
- develop the access model for Planon
- determine analytics, dashboards and reporting requirements for Stream1
- complete remaining integrations
Transition Network Planon Call-Ins
To support the transition to Planon, bi-weekly call-ins are being hosted by the EMMS team initially for managers, heads and sub-heads and coordinators. New information is provided every second Thursday, repeated the following Tuesday, to level set on EMMS and Planon in preparation for go live in November.
Starting this month, the sessions will focus on ‘what’s changing’ which will include:
- what will be different in the future
- how current business processes may be adjusted to align with Planon
- live demonstrations of Planon by the EMMS functional team
Business Process Adjustments
A series of workshops will begin this month to identify additional adjustments to existing business processes which may be required to align with Planon’s delivered processes and workflows. Process adjustments may include the transition from paper to electronic forms, retirement of binders, spreadsheets and manual processes that will no longer required when Planon becomes the source of truth for all information related to maintenance management, inventory and asset management.
Cutover planning is an important activity as UBC gets ready to retire PeopleSoft. The cutover plan will identify all the tasks required to get ready in anticipation of several mock cutover exercises to confirm readiness and anticipate any issues leading up to the November go live.
Similar to cutover planning, work is underway on the sustainment framework for Planon. Similar to Workday users (faculty and staff) who will be receive support from the new Integrated Service Centre, Planon users will have a central point of contact to direct their support questions. Details on Planon sustainment will be coming in the fall closer to go live.
